Advantis Conseils Turquie has been providing strategic and operational consulting services since 2003 to international companies—primarily from France—seeking to invest in and enter the Turkish market.


To join our team of five in Istanbul, we are looking for a Secretary / Office Assistant who can take ownership of the office environment, demonstrate strong communication skills, and effectively manage coordination and follow-up tasks. The ideal candidate is organized, proactive, and eager to learn.


In this role, the main responsibility will be to support the daily organization of the office and secretarial operations, while also assisting with basic accounting and administrative tasks on a monthly basis. Candidates with a good command of English and a willingness to develop professionally may also have the opportunity to contribute to various project-related processes over time.




Key daily responsibilities


Accounting Support & Secretarial Duties


  • Open the office each morning and ensure it is ready for the workday (checking the organization and cleanliness of shared spaces such as the kitchen, bathroom, and common areas; preparing tea and coffee).
  • Maintain the daily organization of the General Manager’s office, including airing the room, preparing and serving morning beverages, keeping the space tidy, and serving lunch when applicable.
  • Manage daily meal orders with the catering provider and receive deliveries.
  • Handle incoming phone calls and emails, redirect communications to the appropriate team members, take messages, and ensure proper follow-up.
  • Manage and track courier and delivery services.
  • Prepare for and welcome visitors to the office, ensuring an appropriate reception.
  • Provide administrative support to the team, including correspondence, document preparation, filing, archiving, and document tracking.
  • Monitor office supply levels; conduct price comparisons for missing items, prepare procurement lists, and assist with purchasing processes.
  • Organize and follow up on travel arrangements, including bookings and check-in procedures.




Periodic / Monthly support tasks


  • Provide support to the accounting process during monthly closings.
  • Review purchase and sales invoices, accurately record them in Excel, and ensure proper filing and archiving.
  • Identify missing or incorrect invoices/receipts, inform the relevant teams, and ensure proper follow-up.



Candidate profile


  • Preferably a graduate of a relevant associate or bachelor’s degree program (e.g., Accounting, Office Management, Executive Assistance).
  • Previous experience in a similar role or through internships is an advantage.
  • Preferably basic proficiency in English, sufficient to communicate with international visitors and business partners via phone, email, or in person.
  • Strong organizational and coordination skills, detail-oriented, reliable, and responsible.
  • Curious, proactive, and eager to learn and develop.
  • Strong written and verbal communication skills and ability to work effectively in a team environment.
  • Comfortable using office equipment (printer, scanner, etc.).
  • Proficient in Microsoft Office, particularly Excel.
  • Interested in technology and new tools.
  • Residing within reasonable commuting distance of our Çekmeköy / Sancaktepe office in Istanbul or able to commute reliably.
